Wholesale Parts Operations manager
Summary:
The Wholesale Parts Operation Manager is responsible for overseeing and driving the success of the dealership’s wholesale parts department. This role focuses on building and maintaining strong relationships with wholesale customers, managing inventory, optimizing parts logistics, leading the wholesale sales team, and ensuring operational efficiency. The ideal candidate is highly organized, sales-driven, and skilled in managing both people and processes to maximize profitability and customer satisfaction.
Supervisory Responsibilities: This job has direct supervisory responsibilities.
Key Responsibilities:

Leadership & Team Development
Lead, train, and mentor wholesale parts sales staff and support personnel.
Establish performance goals and provide coaching to drive accountability and results.
Foster a customer-focused and team-oriented culture.

Wholesale Customer Management
Build and maintain strong relationships with body shops, independent repair facilities, and fleet accounts.
Develop sales strategies to grow wholesale business and expand market share.
Resolve escalated customer issues quickly and professionally.

Operational Oversight
Oversee order processing, delivery schedules, and route planning to ensure timely and accurate fulfillment.
Manage inventory levels and work with the Parts Manager to ensure optimal stock for wholesale accounts.
Implement systems and processes to improve efficiency, accuracy, and profitability.

Sales & Profitability
Monitor and analyze wholesale sales performance, setting and achieving revenue targets.
Negotiate pricing, discounts, and terms within dealership guidelines.
Identify new business opportunities and implement sales campaigns.

Compliance & Reporting
Ensure compliance with dealership policies, manufacturer standards, and all relevant regulations.
Prepare reports on sales performance, customer activity, and operational efficiency for senior management.
Monitor accounts receivable and support collection efforts for wholesale accounts.
Qualifications:
Proven experience in automotive parts wholesale operations, preferably within a dealership setting.
Strong leadership, coaching, and team management skills.
Excellent communication, negotiation, and customer relationship management abilities.
Solid understanding of inventory control, logistics, and sales processes.
Proficiency in dealership management systems (DMS) and Microsoft Office Suite.
High level of organization, problem-solving, and decision-making skills.
Valid driver’s license and clean driving record.
Working Conditions:
Full-time position based in dealership parts department/warehouse.
May require occasional travel to visit wholesale accounts or attend industry events.
Fast-paced environment requiring multitasking and attention to detail.
Essential Duties and Responsibilities include the following:
- Assists with maintaining proper inventory level.
- Orders parts.
- Assists with supervision of parts department staff.
- Assists with pricing of parts.
- Provides input to upper management and Human Resources to make parts department hiring and discipline decisions.
- Works with direct supervisor to ensure department profitability.
- Assists with recordkeeping and paperwork.
- Assists with merchandising and displays.
- Maintains good working relationship with factory(s).
- Assists with annual physical inventory.
- Attends weekly manager meetings.
- Maintains effective employee relations.
- Maintains CSI at or above Company standards
- Maintains an organized, clean and safe work area
- Participates in required training
- Records all hours worked accurately in company timekeeping system
- Follows Safeguards rules and regulations.

Intermediate knowledge of Microsoft Office Products. Ability to learn parts department computer inventory and ordering system.
Communication Skills:
Ability to understand and follow instructions. Ability to communicate effectively with customers and company personnel.
Attendance Expectations:
The position requires regular and predictable attendance. Scheduled shifts may include evening hours, weekends, and holidays.
Physical Demands:
While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to stand; walk; and sit. Must be able to lift up to 30 pounds.
Environment Demands:
Duties are performed primarily in the parts department, but may be required to transport parts to the service department, body shop, or outside of the dealership. Work includes moving throughout the parts department and the service areas of the dealership and frequent moving and shelving of parts. Interacts with customers, parts department staff, and service department staff.
Verbal and Writing Ability:
Ability to read and comprehend instructions, correspondence, and memos. Ability to effectively present information in one-on-one and small group situations to customers and other employees.
Math Ability:
Ability to add, subtract, multiply and divide.
Reasoning Ability:
Ability to apply common sense understanding to carry out instructions.
